In an era of electronic medical records (EMRs), providers have become accustomed to using digital note templates that streamline documentation and ensure compliance with clinical, regulatory, and billing standards. However, during prolonged EMR downtimes, institutions face challenges in maintaining efficient, complete, and compliant documentation—especially given the lack of paper-based protocols to replace EMR functionalities. This gap was highlighted during a prolonged downtime at our institution in February 2024, where absence of effective paper templates led to barriers in providing efficient and effective documentation.
This hands-on workshop guides participants through creating downtime-ready paper templates that align with EMR content without requiring extensive handwriting or sacrificing regulatory and billing compliance. We will walk participants through the iterative process used at our institution to adapt EMR templates for inpatient and ambulatory settings, general and specialty care setting, followed by practical exercises where participants create, test, and refine their own templates. Attendees will also participate in planning strategies for the maintenance and storage of downtime templates, ensuring they remain accessible and current. Additionally, the workshop will address planning for the reintegration of paper downtime notes into the EMR, focusing on methods for efficient organization and accessibility post-downtime.
